Exec/Admin Assistant, General Counsel's Organization

Provide administrative support to the GCO Team in accordance with the GCO Administrative Support Model, including the following:
*  Support to two Senior Counsels
*  Manage calendars, organize meetings and logistics pertaining to meetings with internal and external parties
*  Type, review and amend (sometimes extensively) contracts and related materials
*  Type and transcribe from handwritten notes and telephone messages
*  Coordinate business travel arrangements, prepare and submit expenses and reconciliation of Corporate Card statements
*  Review, distribute and take appropriate action regarding incoming correspondence, send outgoing correspondence and manage routine correspondence
*  Prepare power point presentations
*  Prepare binders of materials, reports, contracts, agreements, resolutions, summaries, correspondence and minutes of meetings
*  Printing, photocopying, filing, scanning, faxing and distribution of materials
*  Maintain filing systems including opening and closing of files, precedent files, maintain file list and related file organization
*  Screen incoming calls for the Canada General Counsel's Office, answer telephone inquiries, redirect calls where appropriate
*  Handle requests from outside counsel and internal/external customers professionally
*  Work independently and/or in collaboration with team members on ad hoc projects as assigned
*  Provide backup and additional support for other General Counsel's Office matters including: budget and operational expenses management, order supplies, attendance management and onboarding and cover other legal staff when necessary

*  Other duties as assigned


*  5-10 years senior level legal administrative experience in a law firm and/or in-house legal department
*  Proficient and extensive experience with MS Office (Outlook, Word, Excel, Concur, SharePoint and Powerpoint) and the ability to learn quickly about proprietary systems for work flow management (eRA)
*  Ability to work independently and efficiently with minimal supervision in a complex environment
*  High energy level - must be able to handle multiple activities and projects at one time in a fast paced and busy environment
*  Strong organizational and time management skills
*  Ability to coordinate and prioritize concurrent projects, timely completion of tasks and proven follow up skills
*  Close attention to detail and accuracy
*  Demonstrate problem solving and decision making skills
*  Proven ability to work independently and within tight timeframes
*  Strong interpersonal and customer service skills
*  Ability to represent Canada General Counsel's Office in a pleasant and professional manner
*  Exceptional written and oral communication skills
*  Ability to work effectively in a team environment
