Legal Assistant

Summary of Key Responsibilities: 

- Assist with drafting, editing and finalizing correspondence and corporate documentation 
- Review contracts, leases, lease extensions, and amending agreements 
- Assist with managing transaction files; including the preparation of closing agendas and closing record books 
- Perform administrative duties with respect to opening and closing files, docketing, billing, scanning, and photocopying 
- Receive, handle, screen and/or direct incoming calls as directed by lawyers; respond to routine inquiries and requests from clients and take messages as required 
- Maintain lawyers? calendars and contacts in Outlook and client relationship management databases 
- Organize physical and electronic legal files; assist lawyers with operation of the document management system 
- Coordinate and schedule meetings and conference calls, both internally and externally 
- Work proactively as a positive and productive member of the team 
- Other duties as required and consistent with the position scope.
Requirements
Qualifications: 

- Successful completion of Legal Assistant Diploma program; 
- Minimum of 2 years' experience in a corporate/real estate department, supporting lawyers, preferably in a share; 
- Strong Microsoft Office Skills (Excel/Word/Outlook); 
- Familiar with Adobe; 
- Skilled in document management system File-site; 
- Trained in real estate software Teraview and Conveyancer; 
- Skilled in Workshare Compare comparison software; 
- Able to manage multiple priorities sometimes with tight deadlines, with ease; 
- Experience compiling Reports to purchaser, vendor and/or lender; 
- Ability to work independently, following instructions with minimal supervision.
