Our client, a well-known and recognized law firm, is looking for a legal assistant to work with a lawyer working in labor law.

Description of tasks :

• Manage the calendar and make sure it is kept up to date.
• Organize meetings, book conference rooms, order refreshments, check room status before meetings, etc. Communicate with other participants internally and externally.
• Take care of travel bookings and other details with help from support teams.
• Open and close records, oversee procedures to ensure that various filing and filing requirements are met.
• Actively take care of customer needs and be aware of the contacts / customers.
• Capture and maintain client information and details and related information in the firm's contact system.
• Respond to current customer inquiries and general administration issues.
• Check correspondence, attachments, documents, reports, presentations, faxes etc. that the document production team produces before these documents are forwarded to the appropriate lawyer and make any necessary minor amendments.
• Handle confidential, urgent or brief correspondence and e-mails.
• If necessary, produce and maintain Excel spreadsheets.
• Assist the lawyer in entering and recording daily hours worked in the system.
• Assist the lawyer in the billing process.
• If necessary, make check requests, bank transfers and remittances.


Requested skills

• Have 2 to 5 years of experience in the legal field and more specifically in litigation.
• Have a diploma in secretarial services or equivalent experience.
• Familiarity with Microsoft Word, Outlook, Excel, and PowerPoint systems, as well as any other system and research tool that the firm uses.
• Have excellent communication and organizational skills and team spirit.
• Have the attention to detail.
• Be flexible and reliable.
• Stay calm when pressure is applied and work within tight deadlines.
• Be conscientious, easy to approach and enthusiastic.
• Must quickly inspire confidence and enjoy the respect and trust of peers.
