Legal Assistant

Your role

Reporting to the Team Leader, the Legal Assistant will support lawyer(s) in Toronto’s office with respect to litigation cases involving insurance claims. The Legal Assistant will work with the legal team and multiple lawyers to handle tasks including managing schedules, payment of invoices, administrative duties, and keeping necessary files up to date and in a timely manner.

Your responsibilities will be:

  • Administrative and support tasks including drafting and preparing correspondence; faxing, scanning and photocopying; scheduling appointment; maintaining client contact information in database; opening and closing files
  • Actively manage deadlines, sending reminders and assisting professional in preparing and filing timely responses to deadlines
  • Keep file up to date and ensure all correspondence has been imaged onto the file; including letters and emails
  • Draft/amend correspondence and various legal documents (motion records, affidavits, etc.)
  • Keep track of incoming correspondence and mail and ensure the Legal and Appeals specialists are in receipt of incoming productions
  • Service of legal pleadings and documents in a timely manner
  • Managing all incoming/outgoing productions of the department to clients and third parties
  • Managing payment of invoices and preparing expense reports
  • Document filing/organization; data entry; general administrative assistance and other duties as required

Your profile


  • Legal Assistant Certification
  • ILCO certification / Paralegal designation is an asset, but not required
  • College diploma / bachelor’s degree is an asset, but not required


  • 5 – 7 years of experience in a law firm or in-house legal department is required
  • Prior experience as a legal assistant in a personal injury field is required
  • Experience with Short-Term and Long-Term disability files is an asset, but not required
  • Prior experience summarizing medical documents is an asset, but not required
  • Prior experience managing multiple lawyers is an asset, but not required


  • Functional understanding of the Rules of Civil Procedure and Court forms
  • Familiarity with local, federal and provincial rules regarding pleadings, discovery formats, deadlines and filing requirements
  • Familiarity with court structures and legal resources
  • Basic knowledge of medical terminology
  • Excellent knowledge of ACL, Quicklaw, CanLII, Primafact & related legal research databases is an asset, but not required


  • Excellent computer skills including proficiency in Microsoft Office (i.e. Word, Outlook, etc.), ACL and Primafact
  • Excellent interpersonal and communication skills (both verbal and written)
  • Conscientious with attention to detail
  • Able to work independently and self starter
  • Excellent multi-tasking skills, effectively prioritize, work independently and have good problem-solving skills
  • Strong file management, scheduling and database management capabilities
  • Excellent organizational skills, with the ability to work well under pressure and prioritize
  • Command of grammar, punctuation, spelling and proofreading skills
  • Team player that works well under strict deadlines
  • Focused, confident, adaptable, self-motivated and enthusiastic
